SMS Text Quick Start Guide

Congratulations on moving forward with SMS text messaging.

Now that you have ordered SMS text messaging, you can follow the quick start instructions below describing how to do the following:

  • Set Up SMS users with permission

  • Authorize SMS texting

  • Stop SMS texting

1. Set Up SMS 

1.Setup SMS

1.1 Configure Users: 

  • Click Settings. You must have login credentials with Admin permissions to grant user permissions.

  • Click Users. Once the user list is displayed select the specific user. The system displays the Permission Tab.

  • Click on the Permission Tab. Now scroll down Category: System and find “Allow SMS.”

  • Check the box. Under the column labeled “Allow” check the box adjacent to “Allow SMS;” note – to deny check the box under the column labeled “Deny.”  Please make sure you check only one box, either Allow or Deny.

  • Click Save. The system saves the setting.

  • Click Settings. You must have login credentials with Admin permissions to grant group permissions.

  • Click Groups. Once the group list is displayed select the specific group. The system displays the Permission Tab.

  • Click on the Permission Tab. Now scroll down Category: System and find “Allow SMS.”

  • Check the Box. Under the column labeled “Allow” check the box adjacent to “Allow SMS;” Note – to deny SMS, check the box under the column labeled “Deny.”  Please make sure you check only one box, either Allow or Deny.

  • Click Save. The system saves the setting. 

2. Authorize SMS

​2.1 Send Authorization Request:

  • Prior to sending an authorization request you need the following: 

    • The system displays a selected lead on the lead page. 

    • Your login credentials have “Allow SMS” permissions.

    • The lead has not authorized SMS.

  • Scroll to Mobile Number. On the lead Personal Information panel, scroll to the Mobile Number field where you see the SMS button.

  • Click the SMS button. The system displays a popup screen Send Authorization.

  • Click Send Authorization. Once you click Send Authorization, the mobile number receives a message requesting the customer to authorize text messages.  If you click Cancel, the system does not send a text message and the process ends.

  • Receive Authorization. The mobile number sends a reply authorizing SMS.  The user may now send text messages to the mobile number. If there is no reply, then the authorization status stays in Pending Authorization.  If the reply does not authorize SMS, then the process is stopped, and text is not available.

3. Stop SMS 

3.1 Receive Request to STOP SMS:

 

  • Receive STOP Request. The system receives an SMS message “STOP” from a recognized mobile number.

  • Unauthorized SMS. The system sets the mobile number to unauthorized status.

  • No Text. Users can no longer send text messages to the mobile number. The user may send an authorization request to re-authorize SMS.

4. User Interface - send, receive and search messages 

  1. Client Name

  2. Client File Number

  3. SMS Status (ex. Not Authorized, Pending Authorization, Authorized, Revoked)

  4. Client Mobile Number (may be used for clicking to call)

  5. SMS Search

  6. SMS Message Log

  7. Category selection dropdown

  8. Message entry
